Avoiding Amazon Inbound Chargebacks: Insights from the FC Floor




Inbound chargebacks are one of the most frustrating hidden costs of doing business on Amazon. Seeing a Fulfillment Center in action makes it immediately obvious why these chargebacks happen: when automated intake systems encounter an error, human intervention stalls the line, triggering an automated penalty. During a recent visit to an Amazon FC our team was able to get direct feedback and guidance from key personnel about these causes and how to prevent them.


1. Why Chargebacks Happen (From the FC's Point of View)

  • Labeling Errors: Missing or unscannable ASIN/FBA labels force manual relabeling.

  • Packaging & Prep Issues: Poorly taped cartons, incorrect poly-bagging, or broken pallet structures disrupt conveyor lines.

  • PO Discrepancies: Overshipping, early/late deliveries, or incorrect case quantities mess with the FC's labor and space allocation.


2. The Ripple Effect of Inbound Non-Compliance

  • Pallet Configuration: When a pallet arrives improperly configured, it gets side-tracked into a problem-solving area.

  • The Cost: Not only do you get hit with a chargeback fee, but your inventory availability is delayed, leading to lost Buy Box share or temporary out-of-stock statuses.


3. Proactive Steps to Safeguard Your Margins

  • Audit Pre-Shipment Workflows: Ensure warehouse teams adhere strictly to Amazon’s prep and labeling standards before pallets are loaded.

  • Implement Standard Operating Procedures (SOPs): Create visual guides for pallet stacking, label placement, and carton seal standards.

  • Monitor Performance Dashboards: Regularly review Vendor Central / Seller Central chargeback reports to catch systemic shipping errors before they escalate.
